Stock Options Administrator

The Stock Plan Administrator is responsible for the administration of the HEICO Stock Plan.
 
ESSENTIAL DUTIES AND RESPONSIBILITIES:
  • Partners with Team Members and management to facilitate the Stock Option Exercise.
  • Collaborates with Brokerage Firms, Transfer Agent, Accounting, Payroll, and external Controllers.
  • Review and discuss Optionee Statements with Team Members and brokers.
  • Prepare DWAC package for review and approval.
  • Review and apply all pertinent information into the appropriate Excel template to include current YTD paystub information such as Supplemental Wages, SS/MED/SDI/FML wage earnings according to the 2021 limits, potentially forecasting the YTD limits pending in payroll, providing cost of shares and estimated taxes based on the limits noted to also include any applicable state, city, and local taxation based on the state of domicile and/or work location and calculate apportionment's when applicable.
  • Create Manual Checks within ADP for each Stock Option, review each transaction for accuracy prior to our subsidiary accepting payroll, saving both pre and post payroll reports.
  • Provide updates for incoming wires, anticipated check dates, keeping an inventory of pending transactions and their tax liability within a subsidiary, potentially consolidating transactions within a subsidiary which exceed the FED Deposit rules, editing previous manual checks due to the consolidation while keeping all parties involved as needed.
  • Responsible for updating both Domestic and International tax policies and procedures yearly or as needed. Research tax regulation for both Domestic and International domiciles, creating new procedures and domicile specific Excel templates due to new acquisitions.
  • Maintains all supporting documentation relative to each transaction, provides copies to the internal Payroll Specialist, approved subsidiaries contact, and Executive Administrative Assistant to the Executive Vice President as needed.
  • Responsible for the Data Integrity of Solium's Stock Option Software, not limited to daily pricing, issuing of grants, cancelling of grants, etc.
  • Monitoring those coming to retirement status, potential transfers to other subsidiaries, upcoming expiration of grants, issuing Statement Summaries and Expiration Notifications to participants as requested.
  • Responsible for weekly and monthly reporting of Optionee status, domicile, with additional reporting as needed.
  • Respond to external and internal audit requests.
  • An effective communicator, providing superior customer service to all those in communication both internally and externally.
  • Perform other duties as required.
