Coordinator, Athletics Business #443360

About This Role:

The Athletics Department is inviting applications for the position of Athletics Business Coordinator. This department has more than a dozen NCAA Division I men’s and women’s sports. Competing in the Western Athletic Conference, Cardinals teams have a history of winning championships in sports including men’s and women’s basketball, volleyball, golf and cross country.

This position is responsible for oversight and administration of day to day business operations within the Athletic Department. This position reports to the Senior Associate Athletic Director/CFO.
 
Position Duties:

1. Perform business operations within Athletics including (but not limited to):

a. Collaboration with University Purchasing, Budget, Finance, Travel, and Accounts Payable offices
b. Requisitioning, purchasing, invoicing, deposits, and receivables
c. Internal/external audits
d. Tracking of expenses and revenues
e. Student-athlete medical insurance payment coordination
f. Communication with coaches and administrators regarding budget/account status
 
2. Submitting timely invoices, deposits, purchase requisitions, request to travels, contracts, etc. to appropriate campus offices such as Accounts Payable, Purchasing, Contract Management, Travel, Budget and Finance.
 
3. Serve as a resource for coaches and staff in the purchasing of apparel, equipment, and supplies, while coordinating with Purchasing and Accounts Payable for appropriate policies and procedures. 
 
4. Serve as the primary resource for the coaching staff during the completion of travel related financial paperwork and serve as the primary contact with the University Travel Office.
 
5. Serve as the primary resource for the coaching staff during the travel planning process including scheduling bus transportation, communicating with the bus company and complete purchasing paperwork prior to travel.
 
6. Serve as the primary contact for coaches and staff during the reimbursement process.
 
7. Assist senior leadership with monitoring budgets (Operating, Discretionary and Camp) for all sports and departments as well as with the annual proposed budget using historical data and analysis.
 
8. Assist senior leadership with the annual EADA Report and all NCAA Financial Reports.
 
9. Assist in the preparation of departmental, university, Western Athletic Conference, NCAA and government reports, studies and surveys.
 
10. Collect courtesy vehicle mileage logs and submit a quarterly report to the payroll office.
 
11. Responsible for internal control mechanisms regarding procurement, contracts, invoicing, payments and all other business practices within the Athletic Department.

12. Comply with all policies and procedures related to the Athletic Department, Lamar University, Western Athletic Conference, NCAA and comply with all State of Texas and federal laws. 
 
13. Perform other duties and responsibilities as assigned.

Minimum Qualifications:

Minimum Education Required: Bachelor’s degree required 

Key Competencies:
Experience with planning monthly and annual budget reports required.
Ability to maintain accurate records concerning overall fiscal operations.
Ability to work cooperatively with staff members and supervisors.
Ability to meet multiple deadlines.
Ability to tolerate constructive criticism and stressful situations.
Ability to tolerate flexible hours, nights, and weekends.
Working knowledge of NCAA rules.

Preferred Education Qualifications:
Master’s Degree preferred.
 
Experience:
1-2 years of athletics business office experience preferred.
Banner 9 experience.
SciQuest/JAEGGER experience.
