Job Summary

The Events Producer will work with internal and external clients to assist with planning, coordinating, promoting, and executing special events for the university. The Events Producer will maintain and communicate the University's policies and procedures for events on-campus, and work with internal and external clients.

Responsibilities

• Oversee the Office of Special Events & Protocol website and ensure that all information on the site is up-to-date and accurate, including policies and procedures, contact information, and other important information pertaining to events
• Establishes, fosters, and maintains cooperative and professional relationships with sponsors, vendors, and other internal and external partners
• Assist in educating internal and external partners regarding protocol, event standards, etiquette, and related issues to enhance partnerships and improve special event outcomes
• Assist in effectively communicating event details to stakeholders involved with the production or execution of an event
• Perform administrative functions as assigned by the Vice President for External Affairs, Communications, and Strategic Initiatives; Chief of Staff to the President and the Associate Vice President for Corporate and Community Relations
• Coordinate and assist in coordinating university special events and/or initiatives for the President and President's Cabinet as well as high-level university events
• Troubleshoot scheduling conflicts and other issues as they arise
• Work collaboratively with the internal and external stakeholders to ensure each event is handled professionally and thoroughly from start to finish, including the planning stage as well as after-action billing and reporting
• Appropriately approve event requests and meeting space reservations, including classrooms, conference rooms, meeting rooms, and ballrooms, as well as athletic and other outdoor spaces
• Serve as a subject matter expert and resource for all policies and procedures pertaining to hosting events at Georgia Southern University, including, but not limited to minors on-campus, alcohol use, security, parking, and space utilization
• Work with business services and other university partners to ensure accurate and timely billing
• Evaluate services to ensure quality and client satisfaction
• Recruit and hire student assistants as needed

Required Qualifications

Educational Requirements

• Bachelor's Degree in Communications, Public Relations, Logistics or related field

Required Experience

• Two (2) or more years of experience in event planning
• Two (2) or more years of supervisory experience

Preferred Qualifications

Preferred Educational Qualifications

• Master's Degree in Communications, Public Relations, Logistics or related field

Preferred Experience

• Three (3) or more years of experience working in event planning, specifically in higher education

Proposed Salary

$50,000 - $60,000

This is an exempt position paid on a monthly basis.

• Knowledge of best practices for event management, with the ability to communicate them to faculty, staff, students, and the public
• Familiarity with event planning and registration software

SKILLS

• Effective communication (verbal and written), organizational and human relations skills
• Excellent time-management, detail orientation and problem-solving skills
• Strong leadership skills
