Summary:

Exciting opportunity to be part of a new program that will provide new models of care for walk-in/urgent care access including days, evenings and weekends. The new CHA CBHC Malden program provides behavioral health evaluation and initial treatment services for individuals of all ages.

The Administrative Coordinator II handles all administrative and secretarial functions including a multitude of office procedures in a manner that supports the efficient and smooth operation of the behavioral health urgent care clinic.

Duties: 

The primary function of the Administrative Coordinator II is to provide administrative support to the urgent care. The administrative coordinator II is responsible for daily management and processing of all new referrals to the clinic, including but not limited to registration and scheduling, covering the front desk functions, scheduling appointments, or documenting a reason an appointment could not be scheduled. Clearly documents all steps taken in electronic medical record. Provides excellent customer service to patients and providers. Performs duties necessary to ensure patient’s requests for medication refills are processed. The coordinator will also be involved in managing all treatment plan functions for the team, terminating, transferring, weekly notices etc; responsible for ordering supplies, faxing, copying, mail distribution, scanning, business card creation and printing. Providing administrative support to individual clinicians as needed. Attends meetings and takes notes as deemed necessary. In conjunction with the Practice Manager, who they will report to, updates clinician templates as needed. Assists Program Leader and Practice Manager with special projects, and other duties as assigned.

Requirements: 

  • Minimum of five years health care office experience required, preferably in a mental health setting.
  • Proficient in MS Office, Word, Excel and Access required, along with prior experience with Epic.
  • Excellent interpersonal, communications and organizational skills as well as sound judgment. The ability to work independently in a fast paced environment handling multiple tasks simultaneously and stay organized.
  • Ability to demonstrate confidence and maturity to make decisions. Must have good problem solving skills and the ability to gather and interpret data to resolve problems.
  • Fluency in Portuguese, Spanish, or Haitian Creole is strongly preferred.
